Terms and Conditions of booking at Elder Grove Bed & Breakfast
Thank you for choosing to book with Elder Grove. We look forward to welcoming you. When you make this booking you are entering an agreement with us. Please read our terms and conditions of booking below.
The price includes bed and breakfast accommodation and VAT.  All extras such as additional meals, drinks etc are additional. Our best prices is for bookings made by telephone.  We accept the following forms of payment: cash, debit cards, credit cards. A donation of £1 to Nurture Lakeland will be added to your bill, this is entirely at the discretion of guests leaving Elder Grove.

Cancellation: Booked Direct
Once you have confirmed your reservation at Elder Grove (by phone/email/letter) the agreement becomes a legal contract and the deposit paid is non-refundable under any circumstance.
However should you need to cancel your stay at Elder Grove, we will require the cancellation in writing (e-mail or letter).  If you cancel with more than 7 days notice we will carry your deposit over for another stay. (equal to or more than the original booking) This must be taken within 3 months of the cancellation date; please note if you cancel your re arranged dates the deposit would not be  refunded or carried forward again .
Should you cancel with less than 7 days notice or curtail your booked stay for any reason you will be liable to pay for the reservation in full.
If we are able to re-let the room before your stay you will no longer be liable for the balance.
Cancellation on the day or non arrival the full amount due will be charged.

Cancellation: 3rd Party (Agency Booking)
if your booking is made through a 3rd party agent the terms of agreement that you agreed to apply as laid out by the company.  The total of the first night will be taken as deposit on booking which is non refundable and non transferable, full payment is due if cancelled 21 days before arrival, any amount due will be taken on the credit card used to secure the booking.  Guests are required to make the cancellation through the 3rd party booking agent.

October 18 Returning Regulars Guest promotion Terms & Conditions.                                                      Applies to new bookings made by phone or email after 1st October 2018 having received newsletter.  For stays taken between 1st November 2018 and 12th March 2019, excluding 17th December 2018 to 4th January 2019 and Dinner break weekend/s.

Insurance – We highly recommend all guests have holiday insurance: Please note we offer accommodation as booked, we do not offer walking holidays or specialist holidays, pleasure ensure your own insurance covers your cancellation charges  – if you  are planning a walking holiday and become unable to walk before or during your stay your insurance will need to cover any charges.
Allocation of rooms: Direct Bookingwhen booking directly with Elder Grove we will always do our best to accommodate a specific room request. However due to the needs/constraints of the business Elder Grove reserves the right to change room allocation to an equal or better room.
Allocation of rooms; 3rd Party Agency bookings: – Bookings made through a 3rd party will be allocated a room as booked but we cannot reserve specific rooms.
Non-availability: To ensure maximum letting potential form our rooms we occasionally hold rooms for longer lets and would therefore decline a shorter booking. Once you booking has been confirmed we would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you. Our liability would not extend beyond this refund.
Arrival& Departure:  
Your accommodation is available to you from 3pm on the day of arrival, unless otherwise arranged. Please be ready to leave your accommodation by 10.30am on the day of departure, unless otherwise arranged. Your bill for the accommodation and any extras or services taken during your stay is payable on departure.
Damages and Breakages:
Please take care with our accommodation. You are responsible and liable for any breakages or damages which you cause to the accommodation or its contents. Please report these as soon as they occur. We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant, and we may make an additional charge of if you did not report this.
No Smoking: All public areas and guests rooms are strictly non-smoking. Should you have found to be smoking in your bedroom a charge of £250 will be made to your credit card to cover the extra cleaning of furnishings , fabrics and loss of revenue, we also request that e-cigarettes etc are not used in the house
 Pets: Unfortunately we no longer accept pets – assistant dogs are accepted by prior arrangement only
Children: sorry we cannot accommodate children under 5.
We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.
Any data gathered during the course of this booking may be held on computer but not shared with other parties. We look forward to welcoming you to Elder Grove.
Occupancy: At Elder Grove supplements apply for under occupancy of a room and are charged at our discretion, over occupancy of a room without our prior arrangement and charges agreed will incur the breach of the contract and guest asked to Pay and or vacate the premises.
Leisure Club Facilities: – we have 2 passes available at a local hotels leisure club for guests whilst staying at Elder Grove, these are available on a first come first serve basis and are not pre-bookable, and are subject to the opening hours of the Hotel/club.


What information we  collect about you

When you make a booking with us we collect the names of all the guests who will be staying, the Home address, email address and telephone number of the person making the booking. We also collect a debit or credit card number to take the deposit equal to the first night of your stay.

How we use the information we hold on you

We use your home address as part of the card payment processing to validate the card.

We will use your email address to send you confirmation of the booking and an email with more details on how to find us and other information you may find useful for your stay.

After your stay you will receive an automatic email from our booking system asking you to fill in a feedback form.

We will not use your telephone number to contact you unless it for an emergency and/or we have been unable to contact you by email.

How is your data stored

All of the personal and debit/credit card data you supply us, as part of the booking process, is stored securely on a third party system, Freetobook.

Neither we nor Freetobook will share your information with any third party unless there is a legal reason for doing so.

Your Address is stored for very occasional Mailings usually only once a year

We never bulk email or send electronic Mail shots

Your name and address details and when you last stopped with us a stored securely card details are destroyed.
